Client documents collected before the deadline

Accounting firm

Before every deadline you have to chase the people who haven't sent the invoices that aren't in the archive, who forgot the bank statement, who send an unreadable photo. It's hours of identical messages, right in the days when the real work is heaviest.

What you check

Similar cases

The same automation logic applied to other kinds of business:

1Payroll consultants who collect attendance records and supporting documents from companies
2Firms that prepare the 730 tax return and collect medical expenses and receipts
3Firms that collect documents for tax returns or bank statements through the same process
4Condominium managers who ask suppliers for documents before the annual accounts

Frequently asked questions

How does it know what each client is missing?

It compares each client's document list with what's already in the archive and with the suppliers that come back every month. How much it can read from the management software's archive is checked with the firm; where it can't, the list lives in a shared sheet.

Do clients in delicate situations get automatic messages?

No. On installment plans, notices from the Agenzia delle Entrate and open disputes, messages on that file go to a person. The block applies to the file, not to the whole client, unless the firm has a different rule.

Does it record invoices in the books?

No. It reads documents to understand what they are and where to file them, and the data it reads stays to be checked. Recording, and for foreign invoices the integration, is done by the staff member.

How many reminders does a client get?

At most two per document. After the second, the client ends up on the staff member's list, to be called.
