Suppliers confirm dates without chasing them by phone

Manufacturing company, purchasing department

You send the order to the supplier and wait for the confirmation with the delivery date. Often it doesn't arrive, or it arrives with a date different from the one you need, and you find out when production has already stopped. Chasing twenty suppliers by phone every week is a job in itself.

What you check

I solleciti partono da un modello approvato. Dopo il primo, telefoni tu.

Sui ritardi decidi tu. Il sistema non cambia fornitore e non accetta date al posto tuo.

Un prezzo diverso dall'ordine è sempre segnalato.

Similar cases

The same automation logic applied to other kinds of business:

1Construction company waiting for the delivery date of materials for the job site
2Technical distributor chasing manufacturers' confirmations
3Food company with raw materials and packaging due on fixed dates

Frequently asked questions

Where does it get the open orders?

From your management system or from a daily export of purchase orders. The connection is checked with you; to get started, an Excel export is enough.

Do the reminders go out without me seeing them?

Only the first one goes out on its own, from a template you approve once. If the supplier doesn't reply within two days, the order ends up on the call list.

What happens if the date doesn't work?

The system doesn't accept dates and doesn't switch suppliers for you. It shows you the order, the job that's waiting and the possible choices; if you ask to bring it forward, the email is already ready to sign.

What about foreign suppliers?

The reminder is written in the supplier's language, always from the same template, and confirmations in English or German are read too.
