Supplier raises a price, you know right away

Restaurant, trattoria

Supplier invoices arrive, go to the accountant and nobody reads them line by line. So guanciale (cured pork jowl) goes from €18.50 to €22.60 per kg and the carbonara stays at €13 on the menu. You notice at year end, when the margin doesn't add up and you no longer know where it was lost.

What you check

Al fornitore scrivi tu. Il sistema prepara la mail, la mandi dopo averla letta.

I conti vengono dalla fattura e dal tuo ricettario. L'AI serve solo a capire che «GUANC. STAG.» è il guanciale.

La fattura resta valida. Se il prezzo è sbagliato si chiede una nota di credito, e la contabilità la segue il commercialista.

Similar cases

The same automation logic applied to other kinds of business:

1Pizzerias that want to keep an eye on mozzarella and flour
2Pastry shops where butter, eggs and chocolate change price often
3Bars and coffee shops that check coffee and milk from suppliers

Frequently asked questions

Where does it get the invoices?

From the service that already receives them for you from the Sistema di Interscambio (the Italian e-invoicing system). Fatture in Cloud and Aruba have a connection, with other programs it needs checking. E-invoices (fatture elettroniche) are structured files, so prices and quantities are read without errors.

Do I have to write the recipe book for every dish?

No. You need the grams of the main ingredients only for the dishes you want to track, and you can start with the ten best sellers. Without a recipe book you still see the price increases invoice by invoice.

If the price is wrong, do I reject the invoice?

A received e-invoice can't be rejected: if the price is wrong you ask the supplier for a credit note. The system prepares the email, the bookkeeping stays with the accountant.

Does it change the menu prices on its own?

No. It tells you how much the increase weighs on each portion; whether to adjust the price, change supplier or let it go is up to you.
