Every firm email arrives already sorted and prepared

Accounting firm

In the morning the front desk mailbox and the accountants' own inboxes are full. Someone asks what time you close on Friday, someone needs the financial statements for the bank, someone forwards a letter from the Agenzia delle Entrate (Italian Revenue Agency). You read them all, decide who handles what and rewrite answers you already know by heart.

Tre livelli: automatica, bozza, solo manualeLe bozze partono solo quando premi InviaAi contatti mai visti non va nessun documento

What you check

Le bozze le manda una persona. Partono solo con Invia, dalla casella e con la firma di chi le manda.

Documenti solo a contatti verificati. Da un indirizzo mai visto arriva al massimo una bozza senza allegati.

I pareri restano al professionista. Comunicazioni di enti, domande sul caso e solleciti non ricevono risposte automatiche.

Similar cases

The same automation logic applied to other kinds of business:

1Payroll consultants getting requests for payslips, CUs (annual income statements) and appointments across several mailboxes
2Law firms where the client writes to the lawyer and to the front desk
3Condominium managers receiving documents, questions and follow-ups from residents

Frequently asked questions

What goes out without anyone looking at it?

Only replies to the request types the firm puts on its list (information about the firm, appointments at free times, confirmations of receipt) and only to verified contacts. A second, independent check has to agree, otherwise the reply stays a draft. A client's documents are always a draft.

Can my colleagues read my mailbox?

No. For an email that reached your personal mailbox, colleagues see at most that it exists, never the text. The front desk mailbox is read by the front desk and by whoever handles that client.

Which email does it work with?

The system reads the mailboxes in read-only mode every two minutes and replies in the same email thread. Today it has been tested with Gmail mailboxes; other providers are checked with the firm before starting. The accounting software isn't connected: documents are read from the client folders on the server.

How often does the sorting get it wrong?

In our tests, on hand-written test messages, the sorting was right in 95% of cases. It isn't perfect: that's why uncertain cases drop a level instead of going out. Every request shows the reason for its level, and a person can change it, reassign the request or split two requests merged by mistake.
